Greetings all.. First let me say glad I was referred to this forum, it's been an excellent source of information with years of experience worth of knowledge. It can't be beat. Secondly I will probably go broke coming here since forums are addictive and I can't stop from buying the materials from the VU Store..:)

Anyways.. Here's my question with a little background. I started producing wedding videos as a break from the corporate video productions and after doing about 5 for free for friends and family and the referrals from them, I decieded to offer the services. So my question relates to the interaction from the videographers to the clients in all stages of the development of the wedding. What I am wanting to know his how you communicate with the clients in regards to contracts, bookings and project interview questionnaires.

So for example, when a potential lead/client contacts you for a wedding? What information do you send back to them upon the initial contact? Prices, Packages, Retainer/Deposit policy, Contract? Then if they book the date and pay the deposit (by check and if it clears :) do you then follow up with standard questionnaire about the event? I guess I am looking for a workflow for client communication and the order of documents to send.

This would be for phone, in person or internet communication. In my thinking it would flow as such:
Step 1. Client: Initial inquiry
Step 2. 2a. VO Open Date: If Open, send package and prices information and attach contract and retainer/deposit information to book date.
2b.VO Close Date: Response to client that you are unable.
Step 3. Client: Sends back contract signed with retainer
Step 4. VO: Acknowledges date is now booked (once check clears) :) VO: Send client questionnaire about the wedding day, reception, ceremony, times, events. etc..etc..
Step 5. Client: two weeks before sends back questionnaire packet and remaining balance
Step 6 VO: Follows up with client with any last questions or concerns
Step 7. VO: Rehearsal and discussion with client about the restrictions and challenges that arise
Step 8. VO: Shoot wedding day
Step 9. VO: Follow up communication with client following honeymoon.
Step 10. VO: Inform client of finished product and deliverable is now on the way.

I am interested in anyone wanting to comment on, suggest, fix, invent new ideas and communication strategies that work for them or would work better than what I have here. Thanks for your time.. Patrick
