supercar video conundrum Can't Post

Background:
What to do, what to do….. I’ve got this”buddy” I’ve helped his church setting up their cameras and editing systems, I did compositing and editing for the intro and credits for their cable access show. So this guy has all these ideas and big plans, but he’s got the attention span of a fruit fly….. With almost as much planning capacity.
So he’s been talking me up, then he wanted biz cards with his name on them, I said no. He wanted to pass out demos, I said no. I’ve been thinking this guy is a great “satisfied customer” guy that will approach the Styrofoam plane guy at the mall and get him talking about a marketing video, -scary.

I’m worried that he’s talked too much. At a car show he was talking to a marketing rep for a (get this) local super car company is planning on producing 25 of these cars by hand, specifications that rival bugatti’s and Lamborghinis. Crazy looking machine….
So I put together a little teaser using web shots and some footage from this event.

I FINALLY got a hold of the marketing guy after three weeks, I have to email him my letter and post the teaser on my site, and the only thing he remembers from his conversation with “buddy” is “portfolio” “no charge”

QUESTIONS:
1 Now granted it would make for some great footage, I’d get the chance to interview the CEO, etc etc. but I’m waffling because I feel a little backed into a corner, the “big budget” wouldn’t allow for the jib shots, locations etc that would make this video a killer piece. So I’m wondering how would you approach this, what questions to ask, what parameters to set. Thoughts, encouragements / discouragements…..

2 How do I deal with “buddy” I’m feeling less comfortable with him every day.

Thank you for your great feedback. I’m glad you enjoyed it.

I’m very sorry about how XXXXX presented his affiliation with our company when he spoke to you. He is a very satisfied customer that I’ve done several favors for his church and helped him with his equipment questions and problems. But he was absolutely out of line in this regard and I thank you for brining this to my attention.

It is true we have been doing a limited amount of free work in order to establish ourselves in the area, for networking and add to our portfolio. However each of these projects must be a determined, conscious business decision that holds potential for our company to gain access to other sources of income. While doing a “freebie” video with your company would be a personally rewarding and fun project, I don’t believe it would be a wise business decision for us. I hope you can appreciate this difficult position we’ve been placed in.

Nevertheless, I would enjoy the chance to meet with you or a representative to discuss any ideas, questions and any possible future needs you may have. Maybe we still can put together a plan that can be mutually beneficial. I really feel horrible about this misunderstanding, and I can assure you flexibility with any available budget you may have to devote to such a project, now or in the future.

Nice way to extricate yourself from a touchy situation AND
let the prospect know you'll do good work for them IF
they've got some budget.

thanks for the kudos, I felt it was appropriate but it's nice to get reassurance.... I ended up finally getting a call from the marketing guy (ironically on the other line while i was chastising "buddy") and we talked about their needs, they're just on the cusp of a marketing push ($Wink) and are trying to sell their first couple $300k cars in two weeks. They're only looking for 3 minutes to play in the car, and it's gonna be GREAT eyecandy for the portfolio, very limited production schedule (good that it won't drag on for months of "oh by the way's")... I buckled, I'm doing it, I hopeit will be opening doors....I'll keep you posted. but curious if anyone else would be inclined to give preferential treatment to a "sexy" job.

Good luck with this. I hope it leads to future work. I was in a similar situation myself several years ago, coincidently in the same industry. I was asked to produce a "small" video for a Shelby Cobra dealer as a favor. This guy had appeared in another video I produced. I agreed to make the video as I was hoping it would lead to future work with Shelby. Needless to say, the video turned out great but it never lead to other videos, mainly I think, because the parent company of Shelby folded and the ownership changed hands. Regardless, it was a fun video to produce. Heck, anytime I can have access to a racetrack and two Shelby Cobras is a good day.

Well, met with the owner, the marketing guy, and the media guy today -phew, it went great, very fun bunch, shoot is tomorrow and final master due next tuesday, it's all a blur, but it'll be one to remember...
